Administrative, Event, & Trade Show Coordinator
Primary objective is to provide:
-
Administrative Support to Outtech Team
-
Office Support of the Corporate Office located in Aurora, Ohio.
-
Administrative Support to Company Chairman
-
Event Planning & Logistics Support
Roles & Responsibilities
Administrative
-
Schedule & facilitate conference calls and zoom meetings.
-
Assist with clerical work as needed (example: Taking dictation, email drafting, Excel documents.)
-
On boarding/off boarding tasks for employees.
-
Forwarding dealer inquiries to appropriate team members.
-
Internal contact list management
-
Special occasion & event needs – Employee birthdays, wedding gifts etc.
-
Product & Internal Sample Ordering
-
Company Logowear/Swag Management & Purchasing
Office
-
Mail/Shipping – Incoming/Outgoing (USPS, UPS, fedex)
-
Office Purchasing – office supplies, kitchen supplies, toiletries, etc.
-
Office equipment maintenance
-
Guest hosting – catering coordination, etc.
-
Management of office showroom.
-
Maintenance of building - Day to day (lightbulbs, furnace filters.)
-
Answer Phone (10-15 calls a day)
-
General Office Maintenance - Straightening, meeting prep/clean up etc.
-
Contracting and management of outside services (ex. Cleaning, Snow Removal, Landscaping etc.)
-
Other duties as needed
Executive Support
-
Daily Schedule Support for Company Chairman (Set Meetings, Calls etc.)
-
Travel Arrangements for Company Chairman
-
Correspondence Support for Company Chairman (Send/Receive Emails, Facilitate Communication)
-
Other duties as needed
Event Planning
-
Planning/Logistics for Bi-annual Sales Meetings
-
Planning/Logistics for Annual Outtech Innovations Event in Conjunction with Marketing & Sales Team
-
Attendee Trade Show Logistics for National Tradeshows (badges, hotel blocks, schedules etc.)
-
Special Event Logistics as Needed

Ability to use Microsoft Office Suite and Google Docs.

Some Travel Required (apx. 2-3 weeks annually)
